GENERAL TERMS AND CONDITIONS
SCOPE
The contracting parties are Robot School GmbH, Industriestraße 23b, 61449 Steinbach (Taunus), Germany (hereinafter referred to as the “organiser”) and the participant or the participant’s parent or legal guardian (hereinafter referred to as the “participant” and “parent or guardian”). This English version is provided for convenience; only the German version is legally binding.
The following general terms and conditions apply to the business relationship between the parties named.
Deviating terms and agreements are not recognised unless the organiser expressly agrees to their validity in writing. These provisions also apply to all future transactions between the organiser and the participant, without the need for a renewed reference to the terms and conditions.
BINDING NATURE
Registration becomes binding for the participant once it has been received and confirmed to the parent or guardian in writing by email. Confirmation of participation is usually sent within three working days.
BOOKING
The organiser sends an electronic invoice for the agreed course fee to the email address given by the parent or guardian on the registration form. The invoice amount must be paid by the parent or guardian either during booking via one of the online payment methods provided or within 14 days by bank transfer to the organiser’s account stated in the invoice. Cash payments are not permitted.
CHANGES TO PROGRAMME & SERVICES
The services are limited to the points stated in the course description. Changes to the schedule are reserved. Irregular special events (e.g. weekend workshop, day workshop, holiday camps, birthday party) may require special contractual provisions. These then replace the corresponding provisions of these terms and conditions where applicable.
In addition, the organiser reserves the right to change the general terms and conditions provided that the interests of the participant are not unreasonably affected. The participant or their parent or guardian may object to the changes within 4 weeks of effective notification of the contract amendment by the organiser by submitting a clear declaration of intent (in writing).
If no declaration of intent has been submitted by the participant or their parent or guardian within the stated period, the contract amendment is deemed accepted.
CANCELLATION POLICY
RIGHT OF WITHDRAWAL
You have the right to withdraw from this contract within fourteen days without giving any reason. The withdrawal period is fourteen days from the day the contract is concluded. To exercise your right of withdrawal, you must inform us at:
Robot School GmbH
Industriestraße 23b
61449 Steinbach, Germany
Email: info@robot-school.de
by means of a clear statement (e.g. a letter sent by post or an email) of your decision to withdraw from this contract. You can use the attached model withdrawal form for this, but this is not mandatory. To meet the withdrawal deadline, it is sufficient for you to send your communication concerning your exercise of the right of withdrawal before the withdrawal period has expired.

CONSEQUENCES OF WITHDRAWAL
If you withdraw from this contract, we shall reimburse all payments received from you, including delivery costs (with the exception of additional costs resulting from your choice of a type of service other than the least expensive standard service offered by us), without undue delay and in any event no later than fourteen days from the day on which we are informed of your decision to withdraw from this contract. We will carry out such reimbursement using the same means of payment you used for the initial transaction, unless expressly agreed otherwise with you; in no event will you be charged any fees as a result of such reimbursement.
If you requested that the services begin during the withdrawal period, you shall pay us a reasonable amount corresponding to the proportion of services already provided up to the time you inform us of your exercise of the right of withdrawal in relation to the total scope of services provided for in the contract. Please note that your right of withdrawal may expire early if we have fully provided our services (“the service”) and only began performing the service after you gave your express consent and at the same time confirmed your knowledge that you lose your right of withdrawal once we have fully performed the contract.
CANCELLATION & REFUNDS
CANCELLATION, RESCHEDULING & CHANGE OF PARTICIPANT
Cancellation conditions vary depending on the booking channel, as bookings via partner sites incur additional commission costs. These platforms charge us a non-refundable commission even in the event of cancellation. We therefore have to retain part of the course fee for cancellations via partner sites.
Please send course cancellations / changes in writing to info@robot-school.de.
Regular group courses and holiday camps booked via our website:
In the event of cancellation up to 30 days before the start of the event, the course fees will be refunded in full. If cancellation takes place later than 30 days before, course fees will be charged proportionately. This is calculated as follows:
Up to 14 days before the start of the event: 50 % of the course fee will be refunded.
From 14 days before the start of the event: course fees will be charged in full.
Regular group courses and holiday camps booked via partner sites:
In the event of cancellation up to 30 days before the start of the event, 80 % of the course fees will be refunded.
In the event of cancellation up to 14 days before the start of the event: 50 % of the course fee will be refunded.
In the event of cancellation from 14 days before the start of the event: course fees will be charged in full.
Trial lessons, individual/sibling courses, birthday parties, family workshops, tutoring courses:
Course dates can be cancelled free of charge up to 48 hours before the start of the course in writing to info@robot-school.de. If cancellation takes place later than 48 hours before the start of the course, the course fees will be charged in full.
Non-attendance does not count as cancellation and does not release you from the obligation to pay.
Until the start of the event, a participant may be replaced by a third party. However, the organiser may object to the change of person if the third party does not meet the requirements of the event.
EARLY TERMINATION
As a rule, there is no entitlement to reimbursement if an event is terminated early.
MINIMUM NUMBER OF PARTICIPANTS
If the minimum number of participants is not reached, the organiser is entitled to cancel the event. The participant fee will then be refunded in full; no further claims can be asserted.
AUTHORITY TO GIVE INSTRUCTIONS & EXCLUSION
Instructions from staff must be followed. Violations by the participant against the organiser’s authority to give instructions or grossly disorderly and/or repeatedly disruptive behaviour may, in the interest of the other participants, lead to exclusion from the event. The same applies to drug/alcohol misuse by the participant during the event. In this case, the parents or guardians undertake to collect their child from the event location. All costs incurred are to be borne by the parent or guardian. In this case, the participation fees will not be refunded.
CONTAGIOUS & CHRONIC ILLNESSES
Participants suffering from contagious illnesses at the time of the event are excluded from lessons.
Parents or guardians are obliged to inform the organiser in writing before the start of the event of any contagious and chronic illnesses and health restrictions (pre-existing conditions, allergies, food intolerances, etc.) of the participant that could lead to emergency situations.
If this is not done, any liability on the part of the organiser is excluded per se.
DUTY OF SUPERVISION
The organiser’s duty of supervision only exists during the times stated in the event description. It begins after the participant has been checked in at reception by a Robot School GmbH employee and ends as soon as the participant leaves the premises.
LIABILITY
The participant is not insured against accidents or liability by the organiser during the events and on the way to and from the event location.
The organiser is not liable for personal property of any kind that participants bring to the event location. We reject any claims for damages by the participant regarding property damage, lost items or accidents. This also applies to damage not attributable to any fault on the part of the organiser, such as natural wear and tear, improper handling, unsuitable use, incorrect or negligent operation or similar.
The parents or guardians further acknowledge that the organiser accepts no liability whatsoever for any damage caused by third parties, in particular other participants, through violations.
The parents or guardians are also obliged to compensate for damage caused by their child during lessons. The organiser excludes liability for slightly negligent breaches of duty unless these concern damage resulting from injury to life, body or health, guarantees or claims under the Product Liability Act. This also applies to the organiser’s representatives and vicarious agents if the participant asserts claims for damages against them.
The organiser is entitled to withdraw from the contract or terminate it after the start of the event if the event is impaired or cannot be carried out due to force majeure, circumstances for which the organiser is not responsible and other unforeseeable events (including operational disruptions of all kinds, transport delays, strikes, lockouts, shortages of labour, energy or raw materials, faulty or delayed delivery by suppliers, official measures). The organiser will refund the proportionate course fee resulting from services not used.
Alternatively, the organiser may name replacement dates, of which it will inform all participants. There is no entitlement to a refund of fees in the event of such unavoidable changes of date.
COLLECTION & JOURNEY HOME
Underage participants can only be collected from an event by their parent or guardian.
Otherwise, the parents or guardians must state in writing at registration the names of the persons who may collect the participant from the event.
DATA PROTECTION NOTICE
Robot School GmbH collects, processes and uses customers’ personal data without further necessary consent only insofar as this is required for establishing and processing the contract and for billing purposes.
In particular, the participant or their parent or guardian agrees that the lessons held, learning progress and other lesson-related information may be collected, processed and used.
Personal data is only transferred to third parties in the course of providing the services if and insofar as this is permitted under the relevant laws.
Information on how we process personal data can be found in our privacy policy.
PHOTOS AND RECORDINGS
Photos and video recordings made of participants during lessons are the property of the organiser. The parents or guardians agree in advance that photos, group pictures and video recordings of their child may be taken during the events. No separate individual approval is obtained.
The organiser may use these photos and videos for marketing purposes – in particular on its own website and its own social media channels.
When registering before the start of the event, parents or guardians can state that recordings of their child are not to be published.
VOUCHERS
ROBOT SCHOOL offers value vouchers. The voucher amount can be freely chosen at purchase. Vouchers can be redeemed for all ROBOT SCHOOL courses booked via our booking system, in particular workshops, holiday camps and the Learning Journey.
Vouchers are valid for three years. The period begins at the end of the year in which the voucher was purchased. Vouchers are redeemed when booking via our booking system by entering the voucher code, subject to availability of places in the desired course. Vouchers are transferable. Cash payment is not possible.
TRUTHFUL INFORMATION
By registering for an event, the parents or guardians declare that the data given on the registration form is true. They also declare that they have read and understood the provisions of the general terms and conditions and the privacy policy and agree to them without reservation.
Supplementary agreement for ROBOT CLUB membership
1. Scope of use
ROBOT SCHOOL grants the participant discounted special conditions for the ongoing course programme for the duration of the ROBOT CLUB membership.
ROBOT SCHOOL also grants the participant the use of the ROBOT Club area, including the technical equipment available, for learning and working purposes. Free work takes place under supervision, but without guidance or teaching.
Use of the ROBOT Club area is included in the membership at no extra cost.
The parent or guardian is liable for their child’s use of the technical equipment and is liable to ROBOT SCHOOL for damages in the event of loss or destruction of the equipment.
2. Fees, due dates, entitlement
The monthly usage fee is due on the day of the stated contract start, unless it is a fee-free month (sections 3b and 3c). The further monthly fees are to be paid on the same day of the following months. ROBOT SCHOOL reserves the right to change the billing date to the 1st or 15th of the month. With the “advance payment” method, the total amount stated for the initial term is due when the contract is concluded. The advance payment only covers the usage fees for the main services agreed in the contract.
If monthly payment has been agreed and the customer is culpably in arrears with more than three monthly fees, ROBOT SCHOOL reserves the right to declare all of the customer’s payment obligations up to the next possible ordinary end of contract immediately due in full pursuant to § 259 ZPO. ROBOT SCHOOL also reserves the right to increase the monthly fee for existing memberships. Members will be informed in advance of the amount and timing of the increase.
3. Contract terms, contract extensions, termination of the main contract and additional services
The main contract begins on the stated contract start date and initially runs for the chosen basic term. ROBOT CLUB membership with participation in the Learning Journey begins on 1 February 2027 at the earliest. Its basic term covers one school term of the Learning Journey, based on the Hessian school holiday calendar. A Learning Journey school term runs from February to the end of June or from September to the end of January. If membership begins during an ongoing school term, the basic term ends at the end of that school term.
If the contract is not terminated with a notice period of 30 days before the end of the basic term, it is extended indefinitely and can then be terminated at any time with one month’s notice. Terminations must be made in text form. After the basic term has expired, the monthly fee continues to be charged as stated in the chosen membership plan. For all terminations, receipt of the notice of termination by ROBOT SCHOOL is decisive.
3a. Satisfaction guarantee (trial month)
The first month of ROBOT CLUB membership is a trial month. Within this first month from the start of the contract, the membership can be terminated at any time without giving reasons in text form (e.g. by email to info@robot-school.de). The membership then ends upon receipt of the termination; no costs are incurred. Fees already paid for the trial month will be refunded in full. The satisfaction guarantee applies once per participant. The statutory right of withdrawal remains unaffected.
3b. Fee-free summer months
No fee is charged for the months of July and August. Membership and all member benefits continue during this time. The fee-free months do not extend the basic term.
3c. Starter bonus
The first 100 members whose ROBOT CLUB membership with participation in the Learning Journey begins on 1 February 2027 receive the first month (February 2027) free of charge. The order in which registrations are received is decisive. The starter bonus is not paid out and is not transferable.
4. Option to suspend for good cause
By mutual agreement, the contract can be suspended for a period to be determined in advance in the event of proven illness or comparable serious reasons for being unable to attend. In these cases, the contract term is extended in accordance with the following provision. In the event of a suspension, the next possible ordinary end of contract existing at the time the suspension agreement is concluded is postponed by the duration of the agreed suspension period. Any extraordinary right of termination under statutory provisions remains unaffected.
5. Transfer of membership
The customer’s rights and obligations under this agreement are only transferable with the express consent of ROBOT SCHOOL. In particular, the customer is prohibited from passing on the access document provided (e.g. membership card, chip card, chip wristband, etc.) to third parties without ROBOT SCHOOL’s consent.
SEVERABILITY CLAUSE
Should individual provisions of these general terms and conditions be or become invalid in whole or in part, this shall not affect the validity of the remaining provisions.
